Privacy Statement
Last updated: 14 September 2026
1. Our Approach to Privacy
We recognise that privacy is an important part of providing psychological services. In the course of working with you, we may collect personal information, including sensitive and health information, that needs to be handled with care. This Privacy Statement explains how we collect, use, store and disclose personal information and the rights you have in relation to that information. Our privacy practices are guided by the Privacy Act 1988 (Cth), the Australian Privacy Principles, the Health Records (Privacy and Access) Act 1997 (ACT) and the professional and ethical obligations that apply to registered psychologists.
2. Information We Collect
The information we collect depends on the nature of your contact with the practice and the services you receive. We generally collect information that is reasonably necessary to provide appropriate psychological services, manage your care and meet our legal and professional obligations. Depending on your circumstances, this may include:
your name, date of birth and contact details
relevant demographic information
information about your psychological and physical health
relevant medical, treatment and medication information
information about your personal, family, educational or occupational circumstances where relevant
referrals, reports and correspondence from other professionals or organisations
appointment, billing and payment information
information provided through forms, assessments, consultations and other communications
other information relevant to providing psychological services.
Information will generally be collected directly from you. Where appropriate, we may also obtain relevant information from another person or organisation involved in your care, such as a GP, other health professional, referrer, insurer or funding organisation. We will generally seek your consent before obtaining information from these sources unless collection without consent is permitted or required by law.
3. How We Use Your Information
We use personal information for purposes reasonably necessary for providing psychological services and operating the practice. This may include:
providing psychological assessment, intervention and support
understanding your circumstances and informing clinical decision-making
communicating with you about your care and appointments
coordinating care with other professionals or organisations where authorised
managing bookings, payments and other administrative matters
maintaining appropriate clinical and business records
meeting legal, regulatory and professional obligations
managing risks and responding to emergencies or other situations requiring action
responding to enquiries, feedback or complaints
administering and improving the practice, its services and website.
We will not use your personal information for an unrelated purpose unless you have consented to the use or the use is otherwise permitted or required by law.
4. Sensitive and Health Information
Psychological services can involve information about your health, relationships, experiences and personal circumstances. Health information is particularly sensitive and is subject to additional privacy protections. We take particular care when collecting, using, storing and disclosing this information. Information is handled only for purposes connected with your care, the operation of the practice or where otherwise authorised or required by law. Please avoid including detailed clinical or highly sensitive information in general website enquiry forms or unsolicited emails. If you proceed with psychological services, we will provide appropriate processes for securely providing information required for your care.
5. Disclosure of Information
Confidentiality is a fundamental part of psychological practice. We do not sell or rent your personal information. Your information will be generally only disclosed to another person or organisation where:
you have provided appropriate consent
disclosure is reasonably necessary to provide or coordinate services and is permitted under applicable privacy requirements
disclosure is required or authorised by law
disclosure is otherwise permitted under applicable privacy or professional requirements.
With your consent, relevant information may be shared with people involved in your care, such as your GP, another health professional, referrer, insurer or other service provider. There are circumstances in which information may be disclosed without your consent. These may include where disclosure is necessary to comply with a legal requirement or to lessen or prevent a serious threat to the life, health or safety of an individual or to public health or safety. Other circumstances may apply under relevant legislation. Where it is lawful and appropriate to do so, we will discuss a proposed disclosure with you before information is shared. If psychological services are funded, arranged or supported by an organisation, we will explain the applicable confidentiality arrangements before services commence. Information provided to that organisation will be limited to what is authorised and appropriate for the purpose of the service. We do not ordinarily disclose personal information to recipients outside Australia. Where overseas disclosure occurs, we will take reasonable steps to ensure that applicable privacy requirements are met.
6. Storage and Security
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. This includes appropriate physical, technical and organisational safeguards, access controls and secure handling and disposal practices. Access to personal information is restricted to people who require it for legitimate professional or administrative purposes. Where external providers are used to support the practice, we take reasonable steps to select and use services appropriate to the type and sensitivity of the information being handled. Personal information is retained for as long as reasonably necessary to provide services and meet applicable legal, professional and administrative requirements. When information is no longer required to be retained, we take reasonable steps to securely destroy it or permanently de-identify it. No electronic system or method of transmitting information can be guaranteed to be completely secure.
7. Website, Cookies and Third-Party Services
Our website may use third-party services to support functions such as website hosting, online enquiries, appointment booking, communications, payments and analytics. These services may collect limited technical information about your interaction with the website, such as your IP address, browser or device information and pages visited. The information collected depends on the services used and how they are configured. Our website may also use cookies or similar technologies to support functionality and, where enabled, understand how visitors use the website. You can manage or disable cookies through your browser or device settings, although some website functions may not operate correctly if certain cookies are disabled. Where you interact directly with a third-party service or follow a link to another website, that provider's own privacy practices will apply.
8. Access and Correction
You may request access to personal information we hold about you and ask us to correct information that you believe is inaccurate, incomplete, out of date, irrelevant or misleading. Requests can be made directly to the practice. We may need to verify your identity before providing access to information or making changes. We will respond to requests within a reasonable period and generally within 30 days. We may be unable to provide access to some information where an applicable legal exception applies. If information is found to be inaccurate or incomplete, we will take reasonable steps to correct it where appropriate.
9. If You Choose Not To Provide Information
You are generally able to choose what personal information you provide. However, some information may be necessary for us to provide psychological services safely and appropriately or to meet our legal and professional obligations. If you choose not to provide information that is reasonably necessary for these purposes, we may be unable to provide some or all services or may need to modify how services are provided. If you have concerns about providing particular information, please discuss them with your psychologist.
10. Privacy Concerns and Complaints
If you have a concern about how we have collected, used, stored or disclosed your personal information, we encourage you to raise it with the practice in the first instance. We will consider your concern and aim to resolve it fairly and promptly. If your concern cannot be resolved, you may be able to make a complaint to an external body. Privacy complaints concerning obligations under the Privacy Act 1988 can be made to the Office of the Australian Information Commissioner (OAIC). In the ACT, complaints concerning health services or health records may also be considered by the ACT Human Rights Commission, including the Health Services Commissioner.
11. Data Breaches
We take reasonable steps to prevent the loss, misuse or unauthorised access, disclosure or alteration of personal information. If we become aware of an actual or suspected data breach, we will assess the incident, take appropriate steps to contain it and reduce any potential harm, and respond in accordance with our legal and professional obligations. Where a breach is likely to result in serious harm and the requirements of the Notifiable Data Breaches scheme are met, we will notify affected individuals and the OAIC as required by law. We maintain an internal data breach response procedure to guide our response to privacy and security incidents.
12. Changes To This Privacy Statement
We may review and update this Privacy Statement from time to time to reflect changes in our practices, technology, legal requirements or professional standards. The current version will be published on our website and will include the date it was last updated.
13. Further Information For Clients
This Privacy Statement provides general information about how the practice manages personal information, including information collected through our website. If you engage our psychological services, you will receive additional information about privacy and confidentiality as part of the registration, intake and consent process. This will provide information particularly relevant to your care, including how clinical information is recorded, used and disclosed and the circumstances in which confidentiality may be limited. If you have questions about how your personal information will be handled, you are welcome to discuss them with your psychologist before or during your care.
